Advertising Guidelines and Rates

Effective January 1, 2010

General

The Planetarian is the Journal of the International Planetarium Society (IPS) containing resource and review articles. It serves as an informational and educational forum for its members and is published on a quarterly basis.

Readership

Membership in IPS is currently 750 worldwide. Our readers include those involved in planetarium administration and show production: artists, musicians, photographers, teachers, technicians, and writers. The Planetarian is distributed to all IPS members around the world as a benefit of membership.

Check the table below to see which will best fit your advertising budget. Prices (in U.S. dollars) are based on the use of color and on the size, placement, and frequency of the advertisement.

Deadlines

The Planetarian is distributed quarterly during the solstice and equinox months with the following deadlines for submission of advertising and copy:

Cover Date
Deadline
March
January 21
June
April 21
September
July 21
December
October 21

Mechanical Requirements

Advertisements are best submitted to the Editor as high-resolution digital files. Accepted file types are pdf (first choice), tif, and jpeg and they must be readable on a Windows-based computer. Best results are obtained with uncompressed CMYK tif files with a minimum resolution of 300 pixels per inch. Jpeg files are compressed by their nature and care must be given to keep the image detailed enough to print well. Please err on the side of quality rather than compression.

Send ads as email attachments to sharon.shanks@gmail.com. It is also OK to post ads at your web site and the Editor will download via FTP. There is no size limit on a downloaded FTP file. Do not email files larger than 8 megabytes in size without making advance arrangements.

Inquire well in advance for special needs and possible exceptions.

bleed diagram Bleeds
Bleeds (a piece of art or an ad that extends to the edge of the page so that a white frame or border is not visible) are available on cover and full page ads at no extra charge. (These include regular full page, centerfold, inside front cover, inside back cover, and outside back cover ads.) The dimensions of the full page are  8.5 x 11 inches (21.6 x 27.9 cm), and ads designed to bleed to the edge of full page must add at least 1/8 inch (0.32 cm) to these dimensions to ensure full page coverage. Any range up to an additional 1/2 inch (1.3 cm) can be added. The extra is trimmed in the binding stage. (For more information and examples, check out http://www.magazinepublisher.com/dictionary.html)

If a full page or cover ad is to bleed to the edge of the page, the Editor must be informed at the time the ad is submitted. Otherwise it will be assumed the ad is designed for the standard size listed above.

Advertising Rate Details

2-Color (black plus one accent color) and Black & White Advertisements:  Note that since the Planetarian is printed in full color, ads to be run in 2-color or black and white must be submitted in 2-color (or black and white) to the Editor. Ads submitted in full color will be run in full color and charged at the full color rate. Prices are subject to change without notice.

Discounts

To receive the significant discount from 4-time insertions, advertisers must have a pre-paid contract on file with the IPS. The four issues in which the ad is inserted are consecutive. Contact the Advertising Coordinator listed below to arrange a contract. Centerfolds are not eligible for the discount.

Cover and Centerfold Advertising

Recent Planetarian policy allowed whoever was advertising on the inside front cover, inside back cover, and outside back cover to keep those placements in the next year if they agree to a 4-issue prepaid contract. The centerfold was sold on an issue-by-issue basis, but was grandfathered in a similar way, so that the current advertiser can keep that placement by buying it in the next issue. This placement policy was established many years ago when there were fewer advertisers vying for these spaces.

Beginning in 2010, we are replacing the grandfathering policy with a more open policy based on sharing if more than one advertiser is interested in one of these prime areas and is willing to sign a four-issue pay-in-advance contract (at the discounted rate) for an ad in that area.

*See complete policy for cover and centerfold advertising.

Billing

Advertisers will be billed for each issue within 30 days of the advertising deadlines listed above. New advertising must be prepaid until credit is established. Checks should be made payable to the International Planetarium Society and sent to the IPS Treasurer at the address listed below. Payments made by wire transfer require an additional $35 fee. Contact the Advertising Coordinator or Treasurer for IPS bank routing information.

Direct Mailing Options

In addition to advertising in the Planetarian, you may contact our membership directly. You may purchase our mailing list on pressure sensitive labels at the cost of $60 for U.S.A. membership, $60 for non-U.S.A. membership, or $110 for both membership lists from the IPS Treasurer.

Insert Options

Advertisers also may place CD/DVD inserts in the Planetarian mailings. The disk(s) must be provided in paper sleeves and must include the statement "Commercial Insert to the Planetarian," either printed on the CD/DVD itself or on the paper sleeve. Advertisers should submit a sample disk and sleeve to the chair of the IPS Publications Committee well in advance of the standard deadline to ensure it meets mailing requirements. The cost per insert is $1,875 per issue, plus sleeved disks.

Miscellaneous

We reserve the right to return advertising materials that we deem inappropriate for the journal.
You may purchase back issues of the Planetarian from the IPS Treasurer.
